Privacy Policy

Paimal ("we", "our", "the app"), operated by SRS Associates, is a field service management application for businesses and their field engineers. This policy explains what data the Paimal mobile app and web app collect, why, and how it's handled.

Information We Collect

• Account information: name, email address, and role, provided when your company creates your account.
• Location data: with your explicit permission, your device's GPS location is recorded only at the moment you check in or check out of a work site. We do not track location in the background or at any other time.
• Activity and work data: service logs, project details, customer and machine records, and notes that you or your team enter while using the app.
• Voice input: when you use voice dictation, speech is converted to text on your device by your operating system's speech recognition. Only the resulting text note is stored by Paimal.
• Files you choose to upload: photos attached to jobs and CSV files you select for bulk data import.

How We Use Information

• To provide core functionality: attendance tracking, activity logging, scheduling, project and customer management, quoting, invoicing, and reporting for your employer.
• To generate analytics and AI-assisted summaries of work activity for your organization's managers/directors.
• To process subscription payments for your employer's account.
• To authenticate your account and keep your session secure.

We do not sell your data. We do not use your data for advertising. We do not share your data with third parties except the infrastructure providers strictly necessary to run the service — currently our application hosting and database providers, our email delivery provider, and the payment processor handling your employer's subscription. These providers process data only on our instructions.

Email We Send on Your Behalf

When a business using Paimal sends a document such as an invoice to one of its own customers, Paimal delivers that email through our email provider on the business's behalf. To do so we process the recipient's name and email address, which are supplied by that business.

• These are transactional messages — sent only because the business asked us to send that specific document. We never use these addresses for marketing, and we do not add them to any mailing list.
• The message identifies the sending business, and replies go directly to that business, not to Paimal.
• The business that sent the document is the controller of its customers' data. If you received an invoice and want your details corrected or removed, contact that business — or reach us at the address below and we will pass the request on.

Data Storage & Security

Data is transmitted over encrypted HTTPS connections and stored in a password-protected database. Your authentication token is stored securely on your device using the operating system's secure storage and is never shared with other apps.

Location Permission

The Android app requests foreground-only location access (not background location). Location is read a single time when you tap "Check In" or "Check Out" and is used solely to timestamp and geotag that attendance record for your employer.

Data Retention

Your data is retained for as long as your employer's account with Paimal remains active, or as required by applicable law. You can request deletion of your account data by contacting your organization's administrator or us directly.

You may request access to, correction of, or deletion of your personal data by contacting us at the email below.

Children's Privacy

Paimal is a business tool intended for employed field service personnel and is not directed at or intended for use by children under 16.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
